POYNETTE AREA PUBLIC LIBRARY BOARD MEETING

Tuesday, July 9, 2024, at 5:00 pm

Poynette Area Public Library

 

Call to Order and Roll Call - The meeting was called to order at 5:00 PM by President Jason Koopmans.

Board Members Linda Ross, Joni DeYoung, Darcy Miller, and Meghan Visger attended the meeting.

Library Director Jodi Bailey was also present. Jerry Pritzl attended remotely. Brittney Jackson was unable to attend.

Adoption of Agenda - A motion to adopt the agenda was made by Ross, seconded by Miller; Motion carried.

 

Approval of Minutes from June 11, 2024 - A motion to adopt the June meeting minutes as presented was made by DeYoung, seconded by Ross; Motion carried.

 

Treasurer’s Report Presented by Treasurer Linda RossThe library checking account at Bank First has a balance of $4,623.47 as of June 28, 2024. The SCLS Foundation account has a balance of $1,994.97 as of May 31, 2024. Director Bailey discussed no-fee gift cards that are being offered by Bank First. Ross made a motion to authorize Director Bailey to purchase no-fee gift cards for fall and winter programming that would not exceed $120; seconded by Koopmans; Motion carried.

 

Current Budget Review - Director Bailey presented the budget.

 

Director’s Report - The Summer Reading Program continues to grow with 305 current participants! The Department of Public Works discovered a broken pipe which caused staff to close the children’s library restroom until further notice. The plumbing repair will require digging a trench in the new blacktop under the pergola. A decision on how to proceed has been tabled until the Village learns if they’ll be awarded the Wisconsin DOA library grant. The library experienced two instances of graffiti recently. Public Works also assisted with removing the graffiti on the library and the Story Walk. Director Bailey is working with Poynette Police Department and the Village in hopes to obtain more cameras on Main Street. The library is searching for a new cleaning company and had a few different vendors submit bids. As the library looks towards budgeting next year, this cost may increase. The library is in the process of getting a new Bank First Business credit card. The staff attended several webinars, classes, and monthly meetings for planning purposes, continuing education, and safety training. Community involvement in June included utilizing the Bookmobile to deliver books supporting the Pioneer Place outreach program, in-home daycare deliveries, and home-bound delivery.

 

Village of Poynette Meeting Update - DeYoung shared that Pump #2 failed and it will be replaced immediately. It was previously scheduled to be replaced as part of the 2025 Budget.

 

Friends of the Library Update - Director Bailey & Trustee Miller attended the meeting on July 2nd. The Friends voted to purchase PlayAways & additional Wonderbooks (with $660 of previously approved funds). They also voted to provide funds in support of a Lego Club program Katy Hanousek is starting up this fall. The Friends Board President plans to apply for a PACE grant for 2025. Jodi & Darcy asked the Friends Board to table their fence discussion until after the broken pipe is repaired. Also, we should know in October whether the Village will be a recipient of DOA grant funds, which will be used toward future building renovations.

 

Business:

 

  1. Approval of Vouchers for Library - Koopmans made a motion to accept the vouchers as presented, seconded by DeYoung; Motion carried.

  2. Review Trustee Essential 8: “Developing the Library Budget” & Select 2025 Budget Committee - Director Bailey included an article titled, “Developing the Library Budget” in the meeting packet to help guide the board as we begin the budget process. Ross, Visger, Miller and Koopmans volunteered to be on the Budget Committee. Their first meeting is Thurs., August 8 at 5:00 PM.

  3. Library Space Planning Committee update (follow-up discussion after July 8th Village presentation) - Craig Malin’s presentations on the Wisconsin DOA library grant at the Village and at the library both went well. Many good questions were asked. Craig will submit the grant application on Thursday, July 11th. We will be notified in October if the Village is awarded the grant. 

  4. Discuss Trustee Training Week: August 19-23, 2024 - There are five informative webinars that Board members can view during that week. They will be recorded, so they can also be viewed at a later time.

  5. Discuss Agenda Items for the Next Meeting on August 13, 2024 - Business Agenda items 1, budget update, and any items that may arise.
