POYNETTE AREA PUBLIC LIBRARY BOARD MEETING
Tuesday, October 8, 2024, at 5:00 pm
Poynette Area Public Library
Call to Order and Roll Call - The meeting was called to order at 5:02 PM by Trustee Darcy Miller. Board Members Brittney Jackson, Meghan Visger and Darcy Miller attended the meeting in-person. Dr. Jerry Pritzl attended remotely. Jason Koopmans and Joni DeYoung were unable to attend. Library Director Jodi Bailey was also present.

Public Comments - None
Adoption of Agenda - A motion to adopt the agenda was made by Visger, seconded by Jackson; Motion carried.
Approval of Minutes from September 9, 2024 - A motion to adopt the September meeting minutes as presented was made by Miller, seconded by Jackson; Motion carried.
Treasurer’s Report (Presented by Director Bailey) - The library checking account at Bank First has a balance of $4,374.84 as of September 30, 2024. The SCLS Foundation account has a balance of $2,115.28 as of September 30, 2024.
Current Budget Review - Director Bailey presented the budget.
Director’s Report - Director Bailey shared that the library card sign-up prize basket donated by Chamber businesses yielded 32 new patrons. The Chamber of Commerce’s support is greatly appreciated. The library staff enjoyed participating in many community events with the bookmobile in September. Rock Solid Heating and Air completed an annual HVAC system check-up. They worked with the Department of Public Works staff to clean out and repair a compromised exterior heat vent pipe. Library staff attended several webinars, classes, and monthly meetings for planning purposes, continuing education, and safety training. Community involvement in September included utilizing the Bookmobile to deliver books supporting the Pioneer Place outreach program, in-home daycare deliveries, and home-bound delivery. The bookmobile also participated in several community events including the Poynette Farmer’s Market, Seize the Day epilepsy fundraiser, Arlington Park fundraiser and the PHS Homecoming parade.
Village of Poynette Meeting Update - Director Bailey shared that she received an email from Village Administrator Malin that Poynette did not get selected to receive the DOA grant.
Friends of the Library Update - Director Bailey shared that the Friends are buying books and glasses for the Christmas in the Village parade. They also applied for the PACE grant again.
Business:
Approval of Vouchers for Library - Visger made a motion to accept the vouchers as presented, seconded by Pritzl; Motion carried.
Discuss/consider 2025 Budget Committee final update - Director Bailey shared that the Budget Committee finalized the salary increases. Bailey took the Budget to the Village and County and asked for a zero increase due to using reserves from the Contingency Funds to fund the salary increases. Visger made a motion to accept the budget as presented, seconded by Jackson; Motion carried.
Library Space Planning Committee update - Deb Haeffner, SCLS consultant, attended the Sept. 26 meeting. She discussed “first steps,” if Poynette is awarded the DOA grant. Deb has years of experience working with architects and library construction & remodeling projects. Director Bailey stated the Committee will not meet again this year, since the library did not receive the DOA grant.
Discuss/consider new candidates for the Library Board Trustee vacancy - Only one application was received. Mary Jo Borchardt is a parent in the community and has served on the Poynette Public Library Board in the past. Miller made a motion to approve Mary Jo Borchardt as our new Library Board Trustee, seconded by Visger; Motion carried.
Election of Officers: Vice President and Treasurer - Pritzl made a motion to appoint Darcy Miller to the office of Vice President, and Brittney Jackson to the office of Treasurer; seconded by Visger; motion carried.
Distribution of Director of evaluation materials - Jason will send an email to Trustees with the materials. Board Members will fill them out and email them to Jason before the next meeting.
Discuss Agenda Items for the Next Meeting on November 12, 2024 - Business Agenda items 1, 6, 7, closed session for director evaluation, trustee training, and any items that may arise.
